AuthNTick Identity Services (“we,” “us,” “our”) is committed to protecting the privacy and rights of individuals in relation to their personal information. This Privacy Policy and Collection Notice explains how we collect, use, hold, and disclose your personal information in accordance with: • The Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs) • The Information Privacy Act 2000 (Vic) and Information Privacy Principles (IPPs) • The Identity Verification Services Act 2023 (Cth) (IVS Act)
By using our services, you consent to the practices described in this Privacy Policy and Collection Notice.
1. What is Personal Information? “Personal information” means any information that identifies you or from which you are reasonably identifiable. This includes, but is not limited to: • Name, aliases, and contact details (address, email, phone) • Date of birth and age • Identification documents (driver’s licence, passport, Medicare card) • Sensitive information such as criminal history or police check results
2. Personal Information We Collect We collect personal information for the purpose of providing identity verification, police checks, and related services. This includes: • Identification and contact details • Consent to undertake a police check or DVS check • Police check results provided by the Australian Criminal Intelligence Commission (ACIC) • Identity document verification via the Attorney-General’s Department Document Verification Service (DVS) • Information provided by you or your authorised organisation
We collect personal information through: • Our website, email, online or written forms • Phone calls or other correspondence • Conversations with our representatives • Third parties, including ACIC, government agencies, or other authorised entities

Purpose of Collection Your personal information is collected to: • Verify your identity using DVS and official government records • Conduct and process your police check or background verification • Respond to inquiries or complaints • Meet legislative or regulatory requirements • Provide our products and services, including AGSVA sponsorship and background checks
4. Storage and Security Applicant Personal Information is held in secure electronic systems and, where necessary, in protected physical storage. We implement safeguards including encryption, role-restricted access, audit logging, secure transmission protocols, and controlled retention and destruction processes. Our data-handling practices — including how we store, protect, retain, and dispose of personal information — are governed by this Privacy Policy and Collection Notice and are designed to ensure the confidentiality, integrity, and security of all Applicant Personal Information.
Additional measures include: • Electronic information is stored in secure databases located in Australia • Paper records are stored securely with restricted access • Access limited to authorised personnel • Staff and volunteers trained in information security • Compliance with internal security policies • Regular audits and reviews
Personal information is destroyed or de-identified when no longer needed for business, legal, or regulatory purposes. Sensitive information, including police check results, is retained only as required under law or for verification purposes. DVS-verified documents are not stored after verification is completed.
5. Disclosure of Personal Information We may disclose personal information to: • Our employees and related bodies for police check and identity verification purposes • Organisations authorised by you to request a police check or DVS check • Third-party service providers assisting with our services • Law enforcement or regulatory authorities, if required by law • Government agencies via the DVS Hub for identity verification • Other organisations with your express consent
The Attorney-General’s Department and DVS Hub facilitate information transfer and do not retain your personal information. They engage third-party service providers bound by APPs for limited, lawful purposes.
We do not disclose personal information to entities outside Australia without explicit consent.
5A. Use of Document Verification Services (DVS) AuthNTick Identity Services may use the Commonwealth Government’s Document Verification Service (“DVS”) to verify your identity using information available from your identity documents.
Why we use this information and our legal obligations: We process Identification Information to verify your identity, reduce the risk of fraud in our operations, and comply with regulatory obligations. We comply with the Privacy Act 1988 (Cth), the Identity Verification Services Act 2003 (Cth), and the Document Verification Services Participation Agreement with the Commonwealth Government.
“Identification Information” includes: • Personal information contained in your identity documents, such as your name, date of birth, document number and other identifying details; and • Information about the outcome of a comparison involved in a DVS request.
Additional DISP Requirements To meet DISP requirements under the AS 4811:2022 workforce screening principles, all prospective or current DISP Personnel must undergo additional checks, including: • Retrospective media check • Criminal History Check • Employment History Confirmation • Education and Qualification check
What is stored: As an ACIC-accredited body, we are required to retain application information for a 12‑month period approved by the ACIC. Only transaction logs are stored; the verifiable details from your identity documents are not retained once used.
Your rights You may request access to, or correction of, your Identification Information used or disclosed in connection with the DVS. You may also raise concerns or make a complaint about how we handle your Identification Information.

What happens if you do not consent: If you do not consent to the use of your Identity Information for verification via the DVS, we will be unable to verify your identity using this method. This may affect our ability to provide certain products or services.

6. Your Rights You have the right to: • Access the personal information we hold about you • Request correction of inaccurate or incomplete information • Withdraw consent for collection or use, noting that this may prevent completion of checks
Note: Police check results issued by ACIC cannot be corrected by us; requests must follow ACIC’s Results Dispute process.
